This policy explains the collection and use of personal data under Swiss law, in particular the revised Federal Act on Data Protection (revFADP), in force since 01.09.2023.

2. Data processed

  • Contact data: when you contact us by email or through the website form, we process the information you voluntarily provide, such as your name, email address, the content of your message and any attachments (up to 20 MB).
  • Anti-spam (reCAPTCHA): when the form is submitted, an automated check (reCAPTCHA v3, Google) may transmit technical data such as IP address and browser/device information to Google in order to assess spam risk.
  • Self-hosted Matomo audience measurement: this website uses Matomo, a self-hosted web analytics tool. Browser-side measurement requests are served in same-origin mode through the technical path /stats/. Depending on your navigation and browser configuration, Matomo may process statistical usage data such as visited pages, timestamps, referring URL, certain navigation interactions (for example outbound-link clicks or downloads), technical browser/device information, browser language, and an approximate location derived from the IP address.
  • Server-side conversion event: when a contact form is submitted successfully, our server also records a statistical event in Matomo indicating that a contact request was successfully transmitted. This event is limited to technical and statistical data (contact page URL, conversion category and action, timestamp, IP address, browser, and a random request identifier). The message content and attachments are not sent to Matomo.
  • Technical hosting data: our hosting provider may retain technical logs needed for operations and security, such as IP address, date/time, requested resource, browser “User-Agent” information, and errors.
  • External links (for example Google Maps): if you click an external link, the third-party service receives data, including your IP address, and applies its own privacy policy.

3. Purposes

  • Respond to requests and messages.
  • Follow up on exchanges and prepare a scope or contract.
  • Ensure the security, availability and proper functioning of the website.
  • Measure website usage, understand which content is consulted and improve user experience, performance and editorial quality.
  • Measure successful contact form submissions for statistical and operational reporting purposes.

4. Processing principles

  • To respond to a request (pre-contractual measures / professional relationship).
  • Our overriding interest in operating the website, ensuring security, preventing abuse and measuring its usage.
  • Where required by applicable law, your consent for specific audience-measurement cookies or other non-essential trackers.

5. Retention periods

  • Contact data: transmitted directly by email and kept in our mailbox for as long as necessary to process and follow up on your request.
  • Matomo audience data: stored in our Matomo instance for as long as reasonably necessary for statistics, website improvement and operational security. Data may be aggregated, anonymized or deleted earlier if no longer needed.
  • Technical logs: retained temporarily according to the security settings of our hosting provider Infomaniak (usually from a few days up to 6 months).

6. Recipients and processors

  • Internally, only by persons who need the data to handle your request and operate the website.
  • Our web hosting provider: Infomaniak Network SA.
  • Our email provider (mailbox hosting linked to info@energiaconcept.ch): Microsoft (Microsoft 365).
  • Our analytics infrastructure operated by us through self-hosted Matomo.

We do not sell or rent your data.

7. Hosting location / transfers

The website is hosted with Infomaniak, a Swiss provider operating infrastructure in Switzerland according to its public information. Audience measurement is performed through our self-hosted Matomo setup and exposed in the browser through a same-origin proxy on this website. If transfers outside Switzerland/EEA were to occur via third-party services, this policy will be updated.

8. Cookies & trackers

  • Language preference cookie: ec_lang (duration: 12 months) is set when you change language via the language menu. It only stores a language code (fr/it/en) and is not used for advertising.
  • Local storage (form draft): to avoid losing your input, the browser may temporarily store a draft of your form (name, email, message) in localStorage. The draft is deleted after the message is sent.
  • First-party Matomo cookies: our self-hosted audience measurement may set first-party cookies such as _pk_id (statistical identifier, up to 13 months), _pk_ses (short session cookie, 30 minutes) and, where applicable, _pk_ref (referral attribution, up to 6 months). These cookies help distinguish visits, measure return visits and attribute the origin of a visit. They are not used for targeted advertising and are not sold to third parties.
  • Same-origin tracking proxy: to limit exposure to third-party domains in the browser, Matomo browser requests are served through the technical path /stats/ on this domain. The Matomo dashboard itself remains hosted on our dedicated analytics infrastructure.
  • Browser-side controls: you can limit or delete cookies in your browser. Privacy settings, content blockers or anti-tracking features may also limit or block browser-side audience measurement.
  • Third-party services: if you leave this website through an external link (for example Google Maps), those services may set their own cookies or trackers according to their own policies.

9. Security

We implement reasonable security measures (HTTPS, access restrictions, updates, hosting safeguards and operational controls) to protect data against unauthorized access.

10. Your rights

Under applicable law, you may request access, rectification, deletion, or object to certain processing by writing to info@energiaconcept.ch.

You may also lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC).

11. Updates
